Privacy Policy for Airmax Systems
Effective Date: February 17, 2026
Airmax Systems respects consumer privacy. This document explains in simple language how the organization collects, uses, and protects personal information when shoppers visit the online store. This policy ensures compliance with British Columbia’s Personal Information Protection Act (PIPA) and relevant federal laws.
1. Information Collection Practices
The organization collects two primary types of information from consumers:
Information Provided Directly by the Consumer
When a customer makes a purchase or attempts to check out, Airmax Systems collects the personal information necessary to fulfill the order. This data includes:
-
Contact Information: Name, email address, and phone number.
-
Shipping Details: The physical delivery address required for parcel carriers.
-
Billing Information: The billing address and payment details.
Information Collected Automatically
When a visitor browses the site, Airmax Systems utilizes tools like Google Analytics 4 (GA4) to understand how the online store is utilized. This process collects data such as:
-
The masked (depersonalized) IP address.
-
The device type, operating system, and web browser used.
-
The specific pages viewed and the duration of the visit.
2. Utilization of Personal Information
The organization uses consumer data strictly to operate the business and provide customer service. Specifically, the data is utilized to:
-
Process Orders: Confirm purchases, process secure payments, and arrange product shipping logistics.
-
Communicate: Send order confirmations, provide shipping updates, and answer customer support inquiries.
-
Screen for Risk: Check transactions for potential fraud to protect both the consumer and the commercial platform.
-
Improve the Website: Use anonymous browsing data to identify technical issues and improve the overall shopping experience.
3. Data Sharing and Third-Party Processors
Airmax Systems does not sell personal data. The organization only shares information with trusted third-party service providers who assist in operating the store infrastructure. Because some of these service providers operate internationally, consumer data may be transferred to and processed on secure servers located outside of Canada.
-
Payment Processing (Stripe): Airmax Systems uses Stripe to process financial transactions securely. Airmax Systems does not view or store full credit card numbers on its servers. All payment processing occurs on Stripe’s secure infrastructure. Stripe may also utilize transaction data independently to perform identity verification and monitor for fraud to comply with international financial regulations.
-
Shipping Carriers: The organization shares the customer name, shipping address, and phone number with carriers specifically to deliver physical goods.
-
Google Analytics: The organization shares anonymous, depersonalized browsing data with Google to track website performance and traffic trends.
4. Digital Tracking and Cookie Consent
The website uses "cookies," which are small data files stored on a user's device.
-
Essential Cookies: These tracking files are required for the website to function. They remember items placed in the shopping cart and secure the checkout process. The website deploys these automatically as they are strictly necessary to provide the service, representing implied consent.
-
Analytics Cookies: These files are used by analytics platforms to track site usage. Airmax Systems asks for explicit, affirmative consent before placing analytics cookies on a device.
Shoppers can choose to disable or reject cookies through the website consent banner or browser settings. If essential cookies are disabled, certain parts of the store will not function correctly.
5. Data Retention Rules
Airmax Systems retains order information only as long as necessary. To comply with the Canada Revenue Agency (CRA) tax laws and accounting rules, the organization must retain financial transaction records for a minimum of six years from the end of the last tax year to which they relate (effectively up to seven years).
Data collected by analytics providers is retained according to strict digital privacy settings and is automatically deleted after the retention period expires. Once personal information is no longer required for legal or business reasons, Airmax Systems securely destroys or anonymizes the data.
6. Security Safeguards
Airmax Systems takes reasonable technical precautions to protect personal information from unauthorized access or loss. The online store utilizes SSL encryption to ensure that data passed between the consumer's computer and the server remains secure. Furthermore, all payment data is handled by financial partners according to strict Payment Card Industry (PCI-DSS) security standards.
7. Consumer Privacy Rights
Under British Columbia’s PIPA, consumers possess specific statutory rights regarding their personal information. Shoppers have the right to:
-
Request Access: Ask for a copy of the personal information the organization holds about them and request a list of third parties who have received the data. Airmax Systems will respond to written requests within 30 business days.
-
Request Corrections: Ask the organization to correct any factual errors in the personal information. If Airmax Systems determines a correction is not appropriate, the organization will formally annotate the file to show that a correction was requested but disputed.
-
Withdraw Consent: Cancel permission for the organization to use their information, subject to legal restrictions (such as the mandatory requirement to keep tax records).
8. Privacy Officer Contact Information and Escalation
